Complaint Letter: This letter is attributed to report a complaint or an error in any document work profile or action. It can be denoted as a legal document to report a compliant. Inquiry Letter: This type caters to fulfill the request or inquiry made by someone. The key purpose is to resolve the queries and questions in the mind of the writer. Order Letter: This type of letter is used to place an order for something. In companies and organizations if anything falls short then an order letter has to be sent across. It is also known as a purchase order or a correspondence between business and a vendor. Response Letter: This letter is written in reply to the one received by someone. When there is any kind of request job application or advice request a response letter is written as a reply for those.
The purpose behind business letters What purpose does a business letter actually serve? Firstly it helps you to communicate with your other business acquaintances. In fact it is like any other means of communication but there is one major difference to it. Business letters serve to document details of vital facts and figures that can be pulled up and analyzed any time afterwards. It is for this very reason that the absolute care diligence and due attention must be given to this exceptionally important writing task. Effective Business Letter Writing Basics Business letters are not deemed to be authentic if they are not written on the letter head of the organization it is being sent from. Irrespective of the occasion for which the letter is being written the language must always be formal. People should ideally be addressed by their titles such as: General Manager Dear Mr. Dear Ms. Director and so on in the event of you not knowing the names of the people. In case you do know their names then you can use them because it adds just that small tinge of familiarity without unduly affecting the essence of the correspondence.
They have a deep mistrust of email and for good reason as its confidentiality can never be guaranteed. Business letters are at least fairly private - you have to assume it s easier and faster to snoop on email than it is to steam envelopes open over boiling water. In other instances too printed letters provide a more tamper-proof formal record of business arrangements complaints employee warnings/terminations and other issues that need to be carved into tablets of stone. (Well paper anyway.) Old fashioned structure modern style Highlighted and ridiculed by the casual nature of email the quaint formality of the old fashioned business letter seems positively Dickensian and totally inappropriate for the way we do business now.
