Readers do not like repetitive messages so do your best to avoid that. Scan every sentence and make sure they are essential to your message. Anything less than that should be deleted from your letter. Be Courteous and Polite This should be mandatory in writing these letters especially if you are talking to someone in a higher position. Depending on the nature of your message every appropriate courtesy should be extended to your reader. Make sure you address him properly as befitting his position. If you are writing a letter addressed to someone in a lower position do not appear condescending. Be Positive This is important especially for sales oriented letters. Use a positive tone of writing when creating your sentences. Substitute negative terms with positive ones. Using the proper words will help keep your reader interested in reading your message. Forget Creativity A business letter is not the medium for you to express your creativity. Do not use fancy words or use flowing narratives that you normally use in creative writing.
In the following find some useful tips for writing a business letter. Layout: The layout of the formal business letter is the blocked one which is also known as the American letter writing format. Unlike before the British writing format has been long gone and it has been replaced with intending all the contents to the left of the page. Structure: The skeleton of the business letter has an additional section for mentioning details about the issue referred in the letter. It starts with the addresses and subject line. Be brief while writing the subject section. It should just be a pointer. Content: Here you should mention the purpose of writing the letter. You may mention the business deal or proposal you are referring to in case it is about something related to that. If it is for a different purpose then you may write it in the subject line for example if it is an inquiry.
This is especially true when businesses want to formalize an agreement or an understanding. So far emails are great for all of the preparatory work but a formal business letter is still most often needed to "seal the deal". There are two overall categories of business letters: business-to-business and business-to-customer. BUSINESS-TO-BUSINESS LETTERS Most business-to-business letters are written to confirm things that have already been discussed among officials in meetings on the telephone or via e-mail. Can you imagine the letters that would have to go back and forth to cover all of the questions and possibilities that can be covered in a one-hour meeting a half-hour phone call or a few quick e-mails? The main purpose of a typical business letter is to formalize the details that were arrived at in those discussions and to provide any additional information that was agreed upon.
